Travel, Accommodation & Official Communication Notice

1. Official Accommodation Arrangements
Accommodation for the conference may be arranged only through one of the following official options:
- Via the official conference website, where accommodation options are explicitly listed; or
- By booking directly with the hotel; or
- Through the participant’s own trusted travel channels.
The Organizing Committee does not require speakers or participants to use any specific external travel or accommodation agency.
2. No Authorization of Third-Party Agencies
The Organizing Committee does not appoint, authorize, endorse, or collaborate with any third-party travel, accommodation, or logistics agencies.
Any emails, phone calls, messages, or invoices claiming to be:
- Affiliated with the conference,
- acting “on behalf of the organizers”, or
- offering discounted or mandatory accommodation,
are unauthorized and should be treated as fraudulent.
3. Official Communication Channels
All official conference communication is issued exclusively through:
- The official conference website
- Official conference email addresses and domains
The Organizing Committee will never request payments, booking confirmations, or personal information through unofficial channels.
4. Data Protection & Privacy (EU GDPR Compliance)
Personal data collected in connection with this conference is processed in accordance with Regulation (EU) 2016/679 (General Data Protection Regulation – GDPR).
Data Processing Principles:
- Personal data is processed solely for legitimate conference-related purposes, including registration, participation, and official communication.
- Personal data is never sold, shared, transferred, or disclosed to third parties for travel, accommodation, marketing, or commercial purposes.
- Appropriate technical and organizational measures are in place to safeguard personal data against unauthorized access, misuse, or disclosure.
Your Rights:
Data subjects retain all rights under GDPR, including the right to:

5. Liability Disclaimer
The Organizing Committee shall not be responsible or liable for any financial loss, damages, or inconvenience resulting from interactions with unauthorized third-party service providers.
Participants are strongly advised to verify all conference-related communications directly through official channels before taking any action.
6. Reporting Suspicious Communication
