When does registration & Abstract submissions open?

The abstract submission and registration portal are open. Make sure to submit the abstract before the committed deadlines.  

Where do I go to register for the conference?

You can register for the conference via our online portal. Navigate to the register now page, choose the category (Speaker/Listener/Poster) and proceed for payment.

What are the registration rates?

Our registration prices may vary depending on the committed Deadlines, make sure to register before the committed deadlines. For further queries, you could also email to our program managers.

How do I get a receipt and confirmation for my registration?

You will get the payment receipt from the conference program manager within 24 to 48 business days. If you have not received any payment receipt, email us at: finance@pagicle.com

Would I be receiving any registration/Conference materials?

Yes, you will receive a conference brochure, agenda, book of abstracts, and other virtual conference materials.

Can I attend the conference without submitting any research abstract?

Yes, you can join the conference by registering under Listener/Delegate Category

Are there any discounts for group registration?

Yes, we have discounts for group participants. For information and discount codes please contact our conference program managers.

CANCELLATION POLICY

Smart Materials 2026 | March 30 & 31, 2026

GENERAL

On Behalf of Smart Materials 2026 Conference, PAGICLE Ltd Conference “is committed to providing exceptional service in a timely manner. Unfortunately, when a customer cancels without giving enough notice, it prevents another customer from being served. No shows and late cancellation have an impact on service quality while punishing customers who may show up earlier. For these reasons, PAGICLE Ltd has implemented a cancellation policy that will be strictly observed.

FULL PAYMENT

Your registration is complete when we receive your full payment. Payments can be online or in person. We do not reserve Conference Slots for any presenter or Listener/Delegate without payment. An online confirmation email will be sent to you at the time of registration and payment. This email serves as confirmation of your registration.

CANCELLATION REQUEST

As it is a in-person event, we do not consider any Cancellation requests. The requests may be considered under extreme circumstances, in such cases, the customer can rise cancellation requests, which may be submitted by phone, email, online, or in person. Please note that refunds will be processed in the original form of payment. If you have any questions or concerns about our cancellation policy, please contact us at +44 123456789,

  • Cancellation policy is strictly followed and all cancellations must be made in writing.
  • Cancellation before 120 days of the conference start date will receive a full refund, less a $200 towards the administrative fee.
  • Cancellation before 90 days of the conference start date will receive a 50 % refund.
  • Cancellations received below 90 days of the conference start date are non-refundable and can only be transferred to the next edition.
  • Discounted registrations due can only be transferred for the next edition or can opt for a Credit Shell.
  • Refunds will be made within 60 days of receipt of cancellation notification.
  • All the accommodations booked through us are refundable based on the hotel cancellation and refund policy.
  • Any discounted accommodations will not be refunded or can only be transferred for next editions.

We will never convert our in-person/Physical conferences to virtual or Hybrid modes. In case of any pandemic or epidemic situations, all the registrations will be refunded debiting at 8% transaction fee & VAT (If applicable). For more information on the registration cancellations due to any personal reasons

Any Individual attendee who could not confirm their travel to the meeting venue / restrictions, refunds cannot be made and registrations can only be transferred to the virtual / online category.

For Accommodations, the refunds may apply as per the cancellations policy of hotel.

CANCELLATION POLICY IN THE EVENTS OF NATURAL DISASTERS OR UNPREDICTABLE ACTIVITY ↓

Organizer is not responsible for any loss or damage as a result of substitution, alteration, postponement, or cancellation of an event due to causes beyond its control including without limitation, force majeure, natural disasters, sabotage, accident, trade or industrial disputes, terrorism or hostilities.

The organizer reserve the right to cancel or postpone the conference in case of any natural disasters, calamities or terrorism activity. In this case, organizer cannot accept refund requests from the conference delegates, speakers or attendees that result from cancelled flights and or natural disasters, calamities, terrorism activity. The organizer will provide opportunity for the registered delegates and attendees to transfer their registration fee and accommodation charges to any future or related conferences.

The organizer will not accept any liability for personal injuries or for loss or damage to property belonging to the delegates, either during, or as a result of the conference.

Travel, Accommodation & Official Communication Notice

To ensure transparency, data protection, and the safety of all speakers and participants, the Organizing Committee issues the following official notice regarding travel, accommodation, and third party communications.

1. Official Accommodation Arrangements

Accommodation for the conference may be arranged only through one of the following official options:

  • Via the official conference website, where accommodation options are explicitly listed; or
  • By booking directly with the hotel; or
  • Through the participant’s own trusted travel channels.

The Organizing Committee does not require speakers or participants to use any specific external travel or accommodation agency.

2. No Authorization of Third-Party Agencies

The Organizing Committee does not appoint, authorize, endorse, or collaborate with any third-party travel, accommodation, or logistics agencies.

Any emails, phone calls, messages, or invoices claiming to be:

  • Affiliated with the conference,
  • acting “on behalf of the organizers”, or
  • offering discounted or mandatory accommodation,

are unauthorized and should be treated as fraudulent.

3. Official Communication Channels

All official conference communication is issued exclusively through:

  • The official conference website
  • Official conference email addresses and domains

The Organizing Committee will never request payments, booking confirmations, or personal information through unofficial channels.

4. Data Protection & Privacy (EU GDPR Compliance)

Personal data collected in connection with this conference is processed in accordance with Regulation (EU) 2016/679 (General Data Protection Regulation – GDPR).

Data Processing Principles:

  • Personal data is processed solely for legitimate conference-related purposes, including registration, participation, and official communication.
  • Personal data is never sold, shared, transferred, or disclosed to third parties for travel, accommodation, marketing, or commercial purposes.
  • Appropriate technical and organizational measures are in place to safeguard personal data against unauthorized access, misuse, or disclosure.

Your Rights:

Data subjects retain all rights under GDPR, including the right to:

  • Access
  • Rectification
  • Erasure
  • Restriction of processing
  • Objection, where applicable

5. Liability Disclaimer

The Organizing Committee shall not be responsible or liable for any financial loss, damages, or inconvenience resulting from interactions with unauthorized third-party service providers.

Participants are strongly advised to verify all conference-related communications directly through official channels before taking any action.

6. Reporting Suspicious Communication

If you receive any suspicious or unsolicited communication claiming affiliation with the conference, please report it immediately to: support@pagicle.uk
